Mason Square Staging Pantry Request, Management, and Maintenance

Purpose

To outline the policies, access procedures, responsibilities, and cleaning requirements for use of the Mason Square Staging Pantries by external caterers.

Scope

This SOP applies to all George Mason University Auxiliary Services–approved external caterers utilizing one of the Mason Square Staging Pantries in connection with events on the Mason Square Campus.

Background

The staging pantry is a shared support space designed for external catering operations. There are two staging pantries on the Mason Square Campus, one in Van Metre Hall, and one in the Fuse Building. Use of a pantry is mandatory for all non-Mason Dining caterers providing full-service catering for events on the Mason Square Campus. The pantry must be left in a clean and sanitary condition following each event. Failure to comply will result in penalties and possible revocation of access.

Roles and Responsibilities

Caterers

  1. Complete the approved catering process through the Auxiliary and Business Services website, including acknowledgment of the required use of the Mason Square staging pantries.
  2. Confirm with Mason Square Operations that a pantry is reserved for use upon execution of the contract with the event client.
    Ensure compliance with all pantry use requirements.
  3. Provide at least one staff member on-site with a valid ServSafe certification.
  4. Complete and sign off on all cleaning and food safety requirements, per the Caterer Daily Checklist, before vacating the space.
  5. Report any damages or maintenance issues immediately to Mason Square Operations by emailing [email protected], or notifying the Event Manager directly.

Mason Square Operations

  1. Confirm event catering requirements at least two weeks before the event is scheduled to take place.
  2. Reserve a pantry and loading dock access for any caterer providing full-service catering to an event on the Mason Square Campus.
    For caterers utilizing the Fuse staging pantry, Operations will arrange for parking for the duration of the event. Cushman Wakefield will not permit the catering vehicle to remain in the loading dock for the entirety of the event. They may only use the loading dock for unloading and final load-out after the event.
  3. Unlock pantry access 15 minutes before the scheduled time.
    Inspect the pantry at the end of the event to ensure sanitation, facilities, and food service requirements are met and secure the space.
  4. Enforce penalties for damages, non-compliance, or improper cleaning.
  5. Invoice caterers, collect and process payments for use of the staging pantry.
  6. Send the revenue collected to Auxiliary and Business Services by Journal Voucher quarterly.

Fuse Housekeeping Contractor

  1. Provide cleaning supplies (soap, sanitizer, mop, broom, trash liners).
  2. Check the space daily and clean as necessary.
  3. Perform periodic deep cleaning and quarterly tasks (e.g., ice machine, ceilings, ducts).

Access & Fees

Access Points

  • The Fuse Staging Pantry is accessed via the Fuse loading dock and associated elevators.
  • The Van Meter Staging Pantry is accessed via the Van Metre loading dock and associated elevators

Elevator Use

  • Since the Fuse freight elevator provides direct access to the staging pantry, any Fuse Staging Pantry-related use of the elevator is subject to the same cleaning standards as the pantry.

Access Window

  • Begins at the scheduled pantry access time, up to two hours before the start of the event, and ends at the scheduled vacate time, up to one hour post-event. Additional time must be arranged in advance.
  • Early building access is available on a case-by-case basis and must be arranged two weeks before the scheduled event.

Fees

  • Base pantry usage fee: $250 (includes up to 4 hours of use)
  • Additional time: $35/hour for every hour past the base four hours. Must be arranged in advance.
  • Fee for not completing the Caterers’ Daily Checklist adequately: $250
  • Fee for disposing of trash and/or food waste in a Mason Square dumpster: $250

Pantry Use Process

Pre-Event

  • Caterer arrives at the scheduled access time.
  • Pantry is unlocked by the George Mason staff.
  • Caterer notifies the event staff immediately if the pantry is not in the appropriate pre-event condition or they note any issues or concerns.

During Event

  • Only approved caterers may use the pantry.
  • Hot food must arrive ready-to-eat (no Sterno or butane burners allowed). Caterer may bring their own hot boxes.
  • All equipment must be used appropriately.

Post-Event Cleaning

  • Complete all tasks on the Daily Caterer Checklist (see attached).
  • Remove all food, supplies, and trash from the pantry.
  • All trash must be taken off-site. On-site dumpsters may not be used. A fee will be assessed if the caterer disposes of trash in a Mason Square dumpster (see fee rates above).
  • Report damages or maintenance issues to [email protected] or 703-993-2095.

Records and Reporting

Caterers must leave a signed Daily Caterer Checklist in the pantry at the end of their event. A Mason Square Operations staff member will inspect the kitchen, collect the checklist, and lock the space. Mason Square Operations will maintain these records for compliance tracking. Reported damages or issues will be documented and communicated to Facilities for follow-up.

Special Notes

  • Anything left behind in the pantry will be disposed of within 24 hours.
  • Non-compliance with cleaning or reporting requirements may result in additional charges or loss of access privileges.
  • Cleaning and damage fees:
    • $250 cleaning fee if pantry is not restored properly.
    • Actual costs billed for repairs or replacement.

Campus Printer Fleet Upgrade Underway

Auxiliary and Business Services (ABS) is pleased to share that Canon Print and Mail Services has begun replacing Mason’s campus printer fleet as part of our renewed contract agreement. More than 300 devices across the university will be upgraded over the coming weeks to support improved efficiency, reliability, and sustainability in our daily operations.

Printer deliveries, installations, and removals will take place in stages — meaning you may notice new printers arriving in your area before they are fully set up or before older devices are removed. Please know this is expected and part of the process.

A replacement schedule has been created to help units anticipate activity in their area. You can view the Printer Replacement Schedule here (schedule subject to change).

Please note that no action is required on your part. All printer configurations and user access information will automatically transfer to the new devices. Once your new printer is installed, you’ll be able to print as usual using your George Mason Mobile or Physical ID — no updates or reconfiguration needed.

The new printers feature a smaller footprint and improved energy efficiency, aligning with Mason’s sustainability goals while providing faster, more secure, and more reliable performance.

During full university closures, outside of the normal academic year, The Globe will serve as the default dining hall in the event of inclement weather.

Fall 2025 parking permits are available online at parking.gmu.edu beginning:

  • July 28: seniors and graduate students
  • July 29: sophomores and juniors
  • July 30: freshmen

Permits rarely sell out immediately, although reserved lot and parking deck permit types do tend to sell out quicker. Based on availability permits are available to purchase throughout the semester. Other short-term parking permits include daily, weekly, and monthly options.

To purchase a permit:

The permit will be activated immediately after your purchase.

Permit costs vary based on the permit types. Typically, if you plan to be on campus for one day, it’s cheaper to pay the short-term parking hourly rate. If you come to campus two or more days weekly, semester permit options may be less expensive overall.

No. Your permit is associated with a particular lot(s) or deck. There is not a specific space in that lot or deck that is assigned to you. For the reserved lots and parking decks, the number of permits sold ensures that you will have a space in the lot or deck under regular conditions.

No. A parking permit is for a designated area (e.g., Lot I permit holders can park at a non-restricted parking space in Lot I at all times), and each permit has specific regulations about where it can be used. A vehicle that requires a license plate must be included as a vehicle on a parking permit.

If only driving a motorcycle, a specific motorcycle permit should be purchased online at parking.gmu.edu. Motorcycles and scooters requiring license plates should park in designated motorcycle areas around campus.

An electric scooter does not require a parking permit but must be parked at a bike rack.

Please note: electric vehicles – scooters, skateboards, bikes, etc – cannot be stored or charged indoors in a residence hall or any Mason building. If you register your scooter or bike with Parking and Transportation, you may charge them at designated outdoor outlets. Please see bike.gmu.edu for details (scroll down on the biking resources tab).

No. Parking permits are only available on a by-semester basis.

Resident students may have one car on their virtual permit.

Non-resident students may have up to two cars on their virtual permit, but only one vehicle may be parked on campus at a time.

There is transportation to the Mason Square, SciTech, and Fairfax campuses, but when you arrive, you generally get around campus by walking.

Yes, off-campus students can purchase any meal plan, but we recommend the Dining Dollar and Patriot plans. 

All meal plans have a set amount of dining dollars, and users can add additional dining dollars during the semester. Dining dollars are tax-exempt, so you save 6% by spending with them versus a credit or debit card. They can be spent at any retail dining location on campus, such as Starbucks, Chick-fil-A, The Halal Guys, Subway, Chipotle, Dunkin’, Blaze Pizza, and more!

All Independence and Patriot meal plans start with $100 Dining Dollars, which are used at our retail locations, such as Starbucks, Chick-fil-A, Chipotle, Dunkin’, etc. You can also use them to deliver on Starship.

Dining Dollars $100 is the default selection for Independence and Patriot plans and will be assigned if no amount is specified. Dining Dollars options are $100, $200, $350, and $500.

With a meal plan, you can save up to 20% per meal cost, depending on the meal plan options.

Visit the Online Mason Card Office to select your meal plan. You can add or upgrade your meal plan at any time during the semester. However, there is a deadline for downgrading or withdrawing from the meal plan.

Meal plans are available for purchase two weeks prior to each semester and are ready to use immediately. Meal plans are billed to the student account and can be viewed through the Student Account Portal.

When you add or upgrade your meal plan during the semester, your meal plan will be ready to use immediately. Payments can be made in the student account portal within two to three business days.

Mason Mobile ID—Download the “Atrium Campus Connect App” and log in with your Mason Net ID to add your Mason ID to your mobile wallet. See detailed instructions here.

Yes. Both Mason Mobile ID and the physical ID card provide the same access level and capabilities around campus.

You may choose between a physical Mason ID card and the Mason Mobile ID. Once users activate their Mason Mobile IDs online, their existing physical Mason ID cards will automatically deactivate or vice versa.

Mason ID is required for many campus services, including meal plans, printers, library or equipment rentals, fitness facilities, George Mason shuttles, major events, and so much more! We strongly encourage all students to obtain their Mason ID for easy access to services around campus.

Mason Money can be used for on-campus services and off-campus Mason Merchant locations.

On-Campus Students: All students living on campus are automatically assigned to a personal mailbox.

Off-Campus Students: You may rent a personal mailbox for $25 (6 months) or $40 (12 months). Visit the Mailroom in Hub ground level with a payment method of Mason Money or credit/debit card. We do not accept cash payments.

You can pick up your packages from smart lockers at the Mail Hub, located on the Hub’s lower level.

When we receive your mail or packages from your carriers, we will notify you by email or text with the locker number and a unique one-time code to retrieve the package.

  • When sending mail or packages, write the student’s name as shown on their Mason ID. Nicknames or names that do not match may result in mail being returned.
  • It is also important to include their specific mailbox number, as shown above. Be careful NOT to mark this mailbox as a PO Box. The student mailboxes are not PO boxes.

Amazon Lockers are also available for delivery and package retrieval directly via the Amazon Services.

It’s optional to bring your own printers. We have printers with 24-hour printing access available in all housing neighborhoods and numerous locations around campus.

Printing costs are $0.10/page for black and white and $0.25/page for color. Deposit Mason Money to your Mason ID, and you can tap and print anywhere.

All print requests can be fulfilled through any of the pay-for-print devices across the campus. When you are ready to print, simply tap your Mason ID to release the job.

The Student Centers are spread across campus, including Johnson Center, The Hub, and SUB I. All George Mason University students, faculty, staff, and campus visitors are welcome to use the facilities. Operating hours vary by semester and location. Student Centers offer dining options, meeting spaces, study lounges, event hosting, ATMs, and resources like printing and mail services. Our centers are also home to several student services on campus, including Student Health Services, tutoring, Student Success Coaching, Student Involvement, the Study Abroad Office, and so much more!

Yes, the Student Centers provide study lounges and reservable group study rooms equipped with technology. You can reserve rooms through the online reservation portal here.

Yes, Wi-Fi is available throughout the Student Centers. Students and staff can connect using their university credentials. Guest Wi-Fi also available for campus visitors.

Yes, the centers are fully accessible, including features like elevators, ramps, and accessible restrooms.
